Supporting serious scientific exchange while making a conference of unprecedented scale for a long-time client feel organized and accessible, with record-breaking attendance in an island setting and programming spanning multiple venues across Honolulu.
Coterie Spark coordinated speakers, room assignments, audiovisual production, schedules, and transitions across 600+ breakout sessions, receptions, and meetings; connected the multi-venue program with clear signage, transportation, and detailed onsite communication; and briefed every guest in depth on travel logistics before arrival.
Supporting serious scientific exchange while making a conference of unprecedented scale for a long-time client feel organized and accessible were our two main goals going into this production.
Across 600+ breakout sessions, receptions, and meetings, we coordinated speakers, room assignments, audiovisual production, schedules, and transitions. Careful planning across each workstream allowed presenters to focus on sharing their research and attendees to move confidently through a packed educational program.
Programming also extended across multiple venues in Honolulu, giving attendees the opportunity to experience more of the destination while adding another layer of operational complexity. Clear signage, transportation, and detailed onsite communication connected each location and kept the program moving.
Travel logistics to the conference also required attention due to the record-breaking attendance numbers and island location. Guests each received in-depth briefings regarding transportation, schedules, venues, and what to expect, helping them arrive prepared and excited before the conference even began.
Behind the scenes, we remained closely connected across venues, responding to changes and supporting speakers, partners, and attendees throughout the conference. Every detail kept the focus where it belonged: advancing science, building professional connections, and creating an unforgettable experience in Hawaii.
