How Coterie Spark handles information collected through this website.
This policy covers the Coterie Spark website at coteriespark.com. It explains what the site collects, why, who receives it, and what you can do about it.
Coterie Spark is a meeting and event management company based in Houston, Texas. In this policy, "we" and "us" mean Coterie Spark.
What the site collects
What you send us
The contact form asks for the following:
- Name
- Email address
- Association or company name
- Subject
- Who you are: planning a meeting or conference, vendor or partner, or other
- Your message, including anything you choose to tell us about your program, timing, and requirements
We use what you send to reply to your inquiry, to ask follow-up questions about the program you describe, and to prepare a proposal if you want one. You choose whether to use the form at all, and you choose how much to put in the message.
What the site collects automatically
The site loads a Google Tag Manager container (ID GTM-NXDJS7X). That container carries two analytics tools:
- Google Analytics 4. Records which pages you view, how you arrived at the site, your approximate location derived from your IP address, and your device and browser type.
- Microsoft Clarity. Includes session replay. It records how you interact with a page, including clicks, scrolling, and mouse movement, and reconstructs those interactions as a playback of the visit.
Whether these tools load, and when, depends on your location and your choice. See "Your cookie choices" below.
Server logs
Our servers record a log entry for every request to this site. This happens automatically, on every visit, in every region, and whether or not you accept the cookie notice. The web server itself writes these entries. They are not cookies and they are not part of the analytics tools above, so a cookie choice does not turn them off.
Each entry records:
- Your IP address
- The date and time of the request
- The URL you requested
- The HTTP method used and the response status the server returned
- The referring URL, if your browser sent one
- Your browser's user agent, the text your browser sends to describe itself
We use these logs to keep the site secure, to detect bots and abusive or fraudulent traffic, and to analyze site traffic.
Log data, including IP addresses, is transferred to and stored in access-restricted analytics systems operated on our behalf. Before the data is used for analysis, IP addresses are replaced with salted one-way hashes, so the analysis results do not identify individual visitors.
We do not sell log data. We do not share it for cross-context behavioral advertising, and we do not use it for advertising. We keep it for as long as we need it for the security and traffic analysis purposes described here.
The location check
Once per visit, your browser asks our own server which country you are in, and for United States visitors, which state. We use the answer for one purpose: to decide which privacy experience applies to you. California, the United Kingdom, the European Union and European Economic Area, and Switzerland require your permission before analytics load.
Your IP address is read on our server to make that routing decision. The location check does not store it and does not log it. The server logs described above are separate: they record the IP address of every request to this site, including the request that performs the location check. Depending on which server delivers the site, the lookup uses the geolocation headers our host attaches to the request, or a MaxMind GeoLite2 database installed on our server. The result, a country and state code only, is cached in your browser for 24 hours so the check does not repeat on every page.
If the lookup fails or returns nothing, we treat you as though you are in a region that requires permission. Analytics stay off until you accept.
How we use information
- To respond to inquiries sent through the contact form and to follow up on them.
- To understand how the site is used, which pages people read, and where the site is not working, so we can improve it.
- To keep the site secure and to detect bots and abusive or fraudulent traffic, using the server logs described above.
- To apply the right privacy settings for your location.
Cookies and similar technology
In California, the United Kingdom, the European Union and European Economic Area, and Switzerland, nothing in the table below is set until you accept the cookie notice. Everywhere else, the analytics cookies are set when the page loads.

The three cs_ entries are stored in your browser and are never sent to us. Your cookie choice stays until you clear it or change it. The cached location result expires after 24 hours. Google and Microsoft set the expiration on their own cookies, and their privacy policies, linked below, describe what they do with the data.

Your cookie choices
If you are in California, the United Kingdom, the European Union or European Economic Area, or Switzerland: no analytics load until you accept the cookie notice. Declining it, or dismissing it with the X, keeps them off, and we do not ask again.
If you are anywhere else: analytics load when the page loads. There is no notice.
Global Privacy Control: if your browser sends a Global Privacy Control signal, we treat it as a decline no matter where you are. Analytics do not load and we do not show the notice. A choice you make yourself, through the notice or the "Privacy Choices" link, replaces the signal.
Everywhere: the "Privacy Choices" link in the footer reopens the preferences panel. You can accept or withdraw at any time. When you withdraw, we stop analytics and expire the Google Analytics and Microsoft Clarity cookies listed above. Tools already running on the page you are viewing stop completely on your next page load.
Do Not Sell or Share: we do not sell personal information collected through this site, and we do not share it for cross-context behavioral advertising. If you want to record an opt-out anyway, decline analytics through the "Privacy Choices" link. We honor it everywhere.
You can also block or delete cookies in your browser settings. That is independent of the choice you make here.
If we make a material change to this policy, we ask everyone for their cookie choice again rather than relying on the choice they made under the earlier version.
Who receives information
The analytics tools send data to the companies that operate them:
- Google LLC operates Google Analytics 4 and Google Tag Manager. See the Google Privacy Policy.
- Microsoft Corporation operates Clarity. See the Microsoft Privacy Statement.
Service providers that host this site and operate our access-restricted analytics systems handle the server log data described above on our behalf, under our direction.
We do not sell the information collected through this site.
How long we keep information
We keep what you send us only as long as we need it for the purposes described in this policy, and then we delete it. Analytics data is held for the period set in the analytics tools themselves. Server log data is kept for as long as we need it for the security and traffic analysis purposes described above. Google and Microsoft apply their own retention rules to the data they hold, described in the policies linked above.
Your rights if you live in California
California residents have these rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act:
- Know. Ask what personal information we have collected about you, where it came from, why we collected it, and who received it.
- Access. Get a copy of the personal information we hold about you.
- Delete. Ask us to delete the personal information we collected from you, subject to the exceptions the law allows.
- Correct. Ask us to fix personal information about you that is inaccurate.
- Opt out. Direct us not to sell or share your personal information. We honor Global Privacy Control signals as an opt-out, and you can record an opt-out yourself through the "Privacy Choices" link in the footer.
We will not deny you service, charge you a different price, or give you a lower quality of service because you exercised any of these rights.
You can use an authorized agent to make a request on your behalf.
Your rights if you are in the United Kingdom or the European Union
If you are in the United Kingdom, the European Union or European Economic Area, or Switzerland, you have these rights under the UK GDPR and the EU GDPR:
- Access. Get a copy of the personal data we hold about you.
- Rectification. Have inaccurate data corrected.
- Erasure. Have your data deleted.
- Restriction. Limit how we use your data.
- Portability. Receive your data in a portable format, or have it sent to another provider.
- Objection. Object to our use of your data.
- Withdraw consent. Withdraw the consent you gave for analytics at any time, using the "Privacy Choices" link in the footer. Withdrawing does not affect what we did before you withdrew.
- Complain. Lodge a complaint with your data protection supervisory authority. In the United Kingdom that is the Information Commissioner's Office.

Children
This site is for professionals planning meetings and events. It is not directed at children, and we do not knowingly collect information from children under 13.
Changes to this policy
We update this page when what the site does changes. The date at the top shows when the current version took effect. If a change is material, we ask you for your cookie choice again rather than relying on the one you made before.
