The client needed to deliver on ambitious educational goals (research discovery, expert engagement, cross-disciplinary networking, CME credits) across five venues for 8,000+ attendees, with Coterie Spark serving as the central point of contact for all clubs, societies, affiliates, venues, and vendors.
Coterie Spark assigned 600+ breakout sessions across five venues, managed signage, food and beverage, and shuttle services, produced an offsite gala that included the John Howland Award presentation, and provided attendee amenities like nursing lounges, luggage/coat check, and prayer rooms.
We produced a four-day, citywide conference in San Francisco spanning five major venues, welcoming 8,000+ attendees, and planning 600+ breakout sessions for a pediatric medical association.
This conference was completely dedicated to education, uniting thousands of pediatricians and healthcare professionals to improve children's health and well-being worldwide. Our client’s goals were ambitious and deeply meaningful, including:
Discovering groundbreaking research from both emerging and established investigators
Engaging with world-renowned experts in basic and clinical sciences
Belonging to a cross-disciplinary network supporting academic pediatrics
Sharing a unique multi-specialty experience focused exclusively on pediatrics

Delivering a conference as monumental as the above mission meant world-class speakers, premier venues, and invaluable networking opportunities. And, to ensure seamless execution, we would have to serve as the central point of contact for all clubs, societies, affiliates, venues, and vendors associated with the event.
To achieve this, we assigned 600+ breakout sessions across the five different venues, designed and implemented detailed signage plans, managed food & beverage for thousands of attendees, coordinated shuttle services between venues, and produced an offsite gala honoring excellence in pediatrics.
Onsite, dedicated teams were assigned to each venue, overseeing breakout sessions, guest relations, ancillary events, and emergency protocols. Beyond logistics, we focused on making the event welcoming - offering nursing lounges, luggage and coat checks, prayer rooms, scheduled breaks, and evening receptions where attendees could unwind after a long day.
The Results: An impactful and seamless experience for all - hosts, attendees, sponsors, vendors, and planners. The gala was a standout moment, culminating in the presentation of the John Howland Award - the highest honor from the American Pediatric Society.
