    Coterie Spark had to coordinate a multi-department committee (General Counsel, Security, Marketing, Facility Coordinators, Executive Assistants) and build contingency plans, including an alternate location and remote overflow viewing sites, for a high-stakes, security-sensitive shareholder meeting.

    Coterie Spark managed transportation, registration, cell phone check, security, food and beverage, help desk, and overflow meeting space, coordinating real-time updates on VIP arrivals and program timing across the main and remote viewing locations.

    The Project

    We produced an annual stockholders' meeting for one of the largest oil and gas companies in the U.S.

    One of the largest oil and gas exploration and production companies in the U.S. hired Coterie Spark to produce their annual stakeholder meeting.

    Throughout the planning process, Coterie Spark communicated with a multi-department committee covering General Counsel, Security, Marketing, Facility Coordinators, and Executive Assistants. We also helped plan activities for the Annual Meeting, including Board of Directors meetings, spouse tours, executive dinners, volunteer training, and employee functions.

    In preparation for the meeting, contingency planning was of utmost importance. An alternate location was required to ensure that, given any circumstance, the meeting would take place. Should attendance exceed expectations, Coterie Spark had remote viewing locations available with transportation provided. Detailed planning was needed at each location to ensure all aspects were executed, including audio-visual, signage, registration, and security checkpoints.

    Producers from Coterie Spark oversaw and managed specific areas including transportation, registration, cell phone check, security, food & beverage, help desk, Board of Directors, overflow meeting space, and the annual meeting room.

    The Shareholder Meeting itself required several independent and highly strategic components, including the precise coordination of VIP arrivals, tracking attendees, and keeping accurate timing of the program. Real-time updates regarding the movement, timing, and orchestration of each element of the meeting were the key to the success of this fast-paced program, enabling both planners and shareholders to adapt to change at any given moment
